How to Track 5-Round and 6-Round Fertilizer Programs Without Losing Count

Running a 5-round or 6-round fertilizer program across hundreds of customers is one of the most administratively demanding operations in the lawn care industry. Every customer is on their own round number. Some are on round two while others are finishing round five. Weather delays push some customers ahead of others. By midsummer, keeping accurate count for every account manually is nearly impossible — and when you lose count, customers miss treatments.

Why Losing Count Happens

Most fertilizer companies that track programs manually — in spreadsheets, whiteboards, or simple job boards — run into the same problem: the tracking system doesn't update itself. After each visit, someone has to manually increment the round number for that customer. When that step gets missed during a busy week, two customers can end up on different round numbers in the system than they are in reality. By the time you catch the discrepancy, the customer has either missed a round or received one out of order.

At 50 customers this is manageable with discipline. At 300 customers it's not manageable at all. The error rate scales with the customer count.

Setting Up Round Programs Correctly

The most important setup step is defining the interval between rounds correctly for each program type. A 6-round program might have rounds spaced at 6 weeks from March through October. A 5-round program might have tighter spacing in spring and fall with a longer gap in summer. Those intervals, set once in the software, drive every auto-reschedule for the entire season. Get the intervals right at setup and the system runs the program for you.

What Happens When a Round Is Skipped

Weather delays, equipment failures, and customer requests will occasionally force a round to be skipped or pushed back. When a skip is logged in the system with a reason, the round doesn't disappear — it stays in the waiting list as an overdue treatment. The customer doesn't silently fall behind. The system flags the gap and the next available routing day can include those overdue accounts as a priority.
